AI integration services for UAE businesses
AI integration services for UAE businesses: document extraction, search, assistants and classification added to the systems you use, with PDPL in mind.
What this involves
The most useful AI in a business is rarely a standalone product. It is a feature inside the systems you already run: reading supplier invoices into the ERP, answering staff questions from your own policies and manuals, drafting replies to routine enquiries, or sorting incoming requests to the right team. We integrate AI models into ERP, CRM, portal and internal workflows for UAE businesses, using established model providers through their APIs rather than training models from scratch. We approach it carefully. AI output can be wrong, so we design for human review where mistakes matter, test against your own documents in Arabic and English before committing, and measure accuracy rather than assuming it. We are equally clear about what data leaves your systems, where it is processed and how that fits the UAE Personal Data Protection Law. And where a simple rule would do the job more reliably, we will recommend the rule.
Questions
Where AI helps in day-to-day operations
These are the use cases where AI tends to deliver practical value inside existing systems. For each, we note what it needs and where its limits are.
- Document and invoice data extraction
- Pulling supplier name, TRN, invoice number, line items, amounts and VAT from PDFs and scans into your ERP as draft entries, and flagging mismatches with purchase orders. Needs: sample documents and clear rules for what counts as a match. Limits: poor scans and unusual layouts reduce accuracy, so a person reviews before posting.
- Search and Q&A over company documents
- Letting staff ask questions in plain English or Arabic and get answers drawn from your policies, contracts, manuals or project files, with links to the source. Needs: organised documents and access rules. Limits: answers are only as good as the source material, and the assistant must respect who is allowed to see what.
- Customer-facing assistants
- Assistants on a website, portal or messaging channel that answer common questions from approved content and collect details for a human to follow up. Needs: approved content and a clear handover route. Limits: they should not quote prices or make commitments outside what you have approved.
- Classification, routing and summarisation
- Sorting incoming emails, tickets or requests by type and urgency, routing them to the right team, and summarising long threads or documents. Needs: examples of each category. Limits: borderline cases still need a person, so we route low-confidence items for review.
When AI is not the right tool
If a task follows clear, fixed rules, such as sending an invoice once an order is approved or calculating VAT, ordinary automation is cheaper, faster and completely predictable. AI earns its place where the input is unstructured: documents, free text, varied layouts and natural-language questions.
AI is also a poor fit where every answer must be exactly right with no review, where volumes are too low to justify the set-up, or where the underlying process is not yet defined. In those cases we will recommend fixing the process or automating it with rules first.
How AI fits into your existing ERP, CRM and portals
We treat the AI model as one step in a workflow, not the centre of it. A typical integration has a trigger (a document arrives, a ticket is created, a user asks a question), a step that prepares only the data the model needs, the model call itself, validation of the output against your rules, and a write-back to your existing system, usually as a draft or suggestion for someone to approve.
Because the AI step sits behind your own integration layer, you can change model provider later without rebuilding the workflow, and every request and response can be logged for audit and quality checks.
Data protection, PDPL and where your data goes
Before anything is built, we map exactly what data would leave your systems, which provider would process it, in which region, and under what retention terms. Business API agreements from the major providers generally give more control over retention and use than consumer tools do, and some offer regional processing; we check the current terms for the provider you choose rather than assuming.
Where personal data is involved, the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) applies to its processing and to transfers outside the UAE. We minimise what is sent, mask or remove personal details where the task allows, restrict access by role and keep logs so you can show what was processed and why.
Accuracy, human review and monitoring
AI models can produce confident, wrong answers. We design for that rather than hoping it will not happen. Outputs that affect money, customers or compliance are presented as drafts for a person to approve. Low-confidence results are routed for review rather than processed automatically.
Before launch, we test against a set of your real examples with known correct answers, so you see measured accuracy rather than a demo. After launch, we monitor results, sample outputs for review and re-test when the model, provider or your documents change.
Our approach: workshop, prototype, production
- 1. Use-case workshop
- We go through candidate tasks with your team and pick one or two where AI is likely to help and success can be measured. You provide: the people who do the work today and a description of the current process.
- 2. Prototype on your data
- A working prototype tested on a sample of your real documents or queries, with measured results and a clear view of cost and limits. You provide: representative samples and someone to judge the output.
- 3. Production integration
- The AI step built into your ERP, CRM or portal with review screens, logging, monitoring and access control. You provide: system access, sign-off on review rules and a named owner for the workflow.
