Property and tenant management software for UAE landlords

Selling a property is a moment; managing one is years of leases, cheques, repairs and statements. That long tail is where landlords lose time and money.

Overview

What this is.

Property management is a different job from property sales. Once a unit is let, the work is recurring and detailed: lease terms and renewals, tenancy registration, rent collected by post-dated cheque or online, deposits, maintenance requests, contractors, service charges and statements for owners who want to know where their money went. Many landlords and managers still run this on spreadsheets, a cheque register and a WhatsApp group with the maintenance team.

We build property and tenant management software for UAE landlords, property managers and owners associations: units and leases, rent schedules and cheque tracking, maintenance with contractor assignment, service-charge budgets and owner statements, and a tenant portal for requests and online payment. It integrates with your accounting — Muhasib or whatever you already use — and with your sales CRM if you also broker.

For a straightforward residential portfolio, a SaaS product may be the right answer and we will say so. Custom pays off with mixed-use portfolios, owners associations, unusual fee structures or several owning entities.

What you get

Built for the specifics.

Not a generic build with your sector’s name on it — the capabilities this particular problem actually needs.

Units, leases & renewals

Buildings, units and their attributes; lease terms, rent, deposits and break clauses; and renewal reminders far enough ahead to renegotiate or re-let without a void.

Rent schedules, cheques & receipts

Rent instalments generated from the lease, post-dated cheques logged with numbers, banks and due dates, deposit reminders, and bounced-cheque handling with replacement tracking.

Tenancy registration tracking

Registration status, reference numbers and renewal dates held against each lease, so you always know which tenancies are registered and which need action.

Maintenance & contractors

Requests logged by tenants or staff, triaged, assigned to in-house teams or contractors, tracked to completion with photos, and costed back to the unit, building or owner.

Service charges & owner statements

Service-charge budgets, apportionment across units, billing and collection, plus periodic owner statements showing rent received, expenses and the net remitted.

Tenant portal & online payment

Tenants raise requests, see their lease and payment schedule, and pay online through a UAE payment gateway, cutting phone calls and cheque runs.

UAE specifics the system has to handle

Tenancy registration
In Dubai, tenancy contracts are registered through Ejari, and other emirates run their own schemes. The system records registration references and renewal dates per lease, and supports direct submission only where an interface is available to you.
Post-dated cheques
Rent is still widely paid by post-dated cheques. The system has to treat cheques as first-class records — not just payments — with deposit dates, clearance status and bounce handling.
VAT on leases
Residential and commercial leases are generally treated differently for VAT, and mixed-use buildings need both. We implement the treatment your tax adviser confirms and keep tax invoices FTA-compliant where VAT applies.
Tenant data and PDPL
Tenant records — Emirates ID copies, contact details, payment history — are personal data under the UAE’s Personal Data Protection Law (Federal Decree-Law No. 45 of 2021). Access control and retention rules are designed in from the start.

How this differs from a real estate CRM

A real estate CRM is built for sales and leasing transactions: leads, listings, viewings, offers and commissions. Property management starts after the deal: the lease is signed, the tenant moves in, and the work becomes recurring billing, maintenance and reporting to owners. The data, users and rhythm are different, which is why we treat them as separate systems that can share a customer record rather than one system stretched across both.

Integrating with what you already use

Accounting
Rent, service charges, deposits and maintenance costs post to your ledger — Muhasib or your existing system — so finance does not re-key from the property system.
Payment gateways
Online rent and service-charge payments reconciled automatically against each lease or unit.
Facilities management
Where a separate FM team or system handles building maintenance, requests and costs flow between the two.

Custom, configured or SaaS?

SaaS property software is the sensible start for a standard residential portfolio with one owning entity: low cost, quick to set up, maintained by someone else. Custom or extended software earns its place with mixed-use portfolios, owners associations with complex service charges, several owning entities that need separate statements, or when you want property management, sales CRM and accounting to share data without manual transfers.

Questions

The specifics.

It depends on your portfolio. Judge options on lease and cheque handling, tenancy registration tracking, maintenance workflow, service charges if you manage communities, owner statements, and whether it integrates with your accounting. A standard residential portfolio is often well served by a SaaS product; custom fits mixed-use portfolios, owners associations or unusual fee structures.

Yes. Each lease generates its rent schedule, and cheques are logged against it with number, bank and date. The system reminds staff before deposit, records clearance or bounce, and tracks replacement cheques and follow-up when one bounces.

At minimum, the system tracks Ejari registration status, reference numbers and renewal dates against each Dubai lease. Whether it can submit registrations directly depends on the interfaces available to your organisation, which we confirm during scoping rather than promise in advance.

Yes. We integrate UAE payment gateways so tenants can pay instalments, deposits or service charges by card or other supported methods, with receipts issued and the payment matched to the lease automatically.

Yes, if it handles service-charge budgets, apportionment across units, collection from owners, and statements. That is where generic landlord tools are often weakest, and a common reason to build or extend.

For a small portfolio, a simple SaaS tool or even a well-structured spreadsheet may be enough, and we would not push a custom build. Custom software starts to make sense as units, buildings or owning entities multiply, or when you need it tied into your accounting.
