Real estate CRM for Dubai brokerages and developers

In Dubai real estate the lead that waits an hour is gone. A real estate CRM is a machine for making sure none of them wait.

Overview

What this is.

Portal leads arrive in volume, from several sources at once, and the brokerage that responds first usually gets the viewing. Yet many agencies still run on a generic CRM that does not understand listings, a WhatsApp group for routing, and a spreadsheet for commissions. Leads go cold in shared inboxes, the same buyer appears three times from three portals, and nobody can say with confidence what the pipeline is worth.

A real estate CRM is built around the actual pipeline — enquiry to viewing to offer to commission — and around speed, because response time is the whole competitive game here. We build CRM that captures every lead from every source, routes it to the right agent instantly, flags it when nobody responds, and tracks it through to a calculated commission split.

Developers have a different problem: unit inventory, payment plans and broker partners for off-plan launches. We build for both, and we will tell you honestly when a configured SaaS CRM is the better answer for a smaller brokerage.

What you get

Built for the specifics.

Not a generic build with your sector’s name on it — the capabilities this particular problem actually needs.

Lead capture from every source

Enquiries from Property Finder, Bayut, Dubizzle, your website, WhatsApp and walk-ins captured into one record, with duplicate detection so the same buyer enquiring on three portals is one lead, not three agents chasing each other.

Instant routing & response-time tracking

Round-robin, area-specialist or listing-owner routing rules, with alerts and reassignment when a lead is not contacted within the time you set — and reporting on actual response times per agent.

Listings & portal sync

Listings managed in one place and published to the portals your account has feed access to, with permit references, photos and prices kept consistent so nothing drifts out of date.

Viewings, offers & deal pipeline

Viewings scheduled and logged, feedback captured, offers and deal stages tracked end to end, so managers see an honest pipeline rather than optimistic agent estimates.

Commission splits & agent performance

Configurable commission rules — listing and selling agent splits, co-broker shares, team leader overrides — calculated per deal, with per-agent performance reporting.

Permits & licence records

Advertising permit references stored against listings and broker licence details against agents, with expiry reminders, so compliance data lives where the work happens.

Built for how Dubai property works

Brokers and agents in Dubai are regulated through RERA and the Dubai Land Department, and advertising a listing requires a permit. A CRM that ignores this leaves compliance in a separate spreadsheet. Ours stores the permit reference against each listing and the licence details against each agent, and warns before either expires, so a listing is not pushed to a portal without the reference it needs. Confirm the current permit and licensing requirements with DLD, as procedures are updated from time to time.

Response time is the other Dubai-specific factor. Portal leads are shared widely and buyers enquire on several listings at once. Routing rules, SLA alerts and duplicate detection are not nice-to-haves here; they are the reason to have a CRM at all.

Brokerage CRM vs developer CRM

Brokerage
Centred on leads, listings and agents: portal capture, routing, viewings, offers, commission splits, and agent performance. Volume is high and speed decides outcomes.
Developer
Centred on units and buyers: inventory by project and phase, holds and reservations, payment plans and instalment tracking, broker-partner registration, and handover. Volume is lower but each record carries far more financial detail.
Both
Some groups run a brokerage and a development arm. The two can share a customer database while keeping separate pipelines, which is often a reason to build rather than run two products.

Custom build or configured SaaS CRM?

A smaller brokerage with a standard process is usually well served by a configured SaaS CRM with portal integrations. It is quick to start and someone else maintains it. We will say so if that is your situation.

Custom makes sense when licence costs scale badly with agent numbers, when your routing and commission logic does not fit, when you need developer inventory and brokerage leads in one system, or when the CRM has to feed accounting and property management without re-keying.

Integrations and related systems

Portal integration depends on each portal’s feed or API access terms for your brokerage; we do not imply official partnerships. WhatsApp runs through the Business API, telephony through your provider’s call-logging interface, and commissions can post to your accounting system. Lettings and tenant operations are a different system with different data — see property management software.

Questions

The specifics.

Usually, yes — through the portal’s lead feed or API where your account has access, or by parsing lead notification emails where it does not. Which method applies depends on each portal’s current terms for your brokerage; we confirm that before building rather than promising a link we cannot deliver.

Yes, using the WhatsApp Business API through an approved provider. Incoming conversations become leads in the CRM and are routed by the same rules as portal enquiries, with the conversation history kept on the record rather than on an agent’s personal phone.

Yes. Commission rules are configurable per deal type — listing and selling agent shares, co-broker splits, team overrides — and the CRM calculates each party’s share when a deal closes, so payouts no longer depend on a spreadsheet.

Often not. A well-configured SaaS CRM with portal integrations can serve a small brokerage well at lower cost. Custom starts to pay off when per-user licences become expensive as you grow, when your routing or commission rules do not fit the product, or when you need the CRM tied into accounting, developer inventory or property management.

Yes. A developer CRM adds unit inventory with availability and holds, payment plan schedules, booking and reservation steps, and a broker-partner channel where external agencies register clients and track their commissions.

We store permit and licence references and build the workflow around them. Direct integration with Dubai Land Department systems depends on what interfaces are available to your organisation, so we assess that per project rather than claiming it up front.
